Office Manager

About the Job:

Samasource is looking for a versatile, dynamic and friendly Office Manager who will provide office support for our rapidly-growing Montreal office to ensure the smooth day-to-day operations. Reporting to both the Director of HR and a key member of the Business Operations team, this role will be responsible for the administrative aspects of running the office, as well as being the go-to person to handle local HR administration and various coordination with appropriate departments. 

Our ideal candidate will be able to take charge in a startup environment to keep the office running smoothly -- we need a friendly, problem-solving, detail-oriented, and flexible person who has the desire to help us foster a warm, welcoming office environment.

 

Key Responsibilities: 

  • Office Management:
    • Oversee all day-to-day needs and logistics for maintaining a clean and organized office
    • Provide general office support: phone calls, welcoming visitors, and general Samasource inquiries
    • Maintain and act as the admin of office systems and tech platforms, including email and data management, company intranet, etc.
    • Order and stock supplies
    • Process all incoming and outgoing mail and packages
    • Manage relationships with property management, local suppliers, and other outside vendors
    • Lead planning and logistics for team events, staff meetings, off-sites and other activities, as well as documentation of those activities for social media and archives
  • HR Administration:
    • Support onboarding and offboarding processes for new and exiting employees
    • Provide assistance with rolling out the new local benefits plan
    • Help facilitate onsite interview setup to ensure world-class candidate experience
    • Keep track of and lead preparation for local recruitment events (job fairs, etc.)
    • Provide support to HR to streamline requests (parental leave, benefits, etc.)
    • Provide ad-hoc support to the Director of HR for special projects

 

Minimum Qualifications:

  • Minimum 2 years’ office management or administration experience
  • Tech-savvy, comfortable with MAC OS, Microsoft Office Suite, and Google enterprise applications
  • Prior experience with HR administration in some capacity 
  • Excellent communication, organization, time management, and multitasking ability
  • At home in a fast-paced environment with unsolved challenges, where versatility is key
  • Comfortable working with multiple internal teams and external partners
  • Comfortable with both G-Suite and MS Office
  • Bilingual in French & English
  • Desire to build upon a fun, positive work culture
  • Strong interest in supporting our social mission
  • Friendly and approachable demeanor

 

Preferred Qualifications: 

  • Experience working at a startup or small business
  • Slack, Zoom, and Asana systems experience
  • Recruitment coordination experience
  • Event planning experience
  • Great sense of humor
